To-pay vs prepaid: which should you choose?

Every intercity consignment has a payer — the question is only whether it is the sender or the receiver. In Indian freight, "to-pay" means the receiver pays on delivery; "prepaid" means the sender pays at booking. The choice shapes your cash flow, your customer relationships, and who chases whom when something goes wrong.

How to-pay works

You book the consignment, the goods travel, and the receiver pays the freight (plus any handling) when the goods arrive. The transporter collects on delivery — essentially cash-on-delivery for freight. It is the default in much of traditional Indian road transport, especially in wholesale and dealer networks.

How prepaid works

You pay the full freight at the time of booking — online or at the counter — and the receiver simply collects the goods. No money changes hands at delivery. This is the norm in courier and e-commerce logistics, and increasingly in organised B2B freight.

Choose to-pay when…

• Your buyer insists on it — in many wholesale markets, the buyer chooses and pays the transporter.
• You sell to dealers who consolidate freight across suppliers and negotiate their own rates.
• Cash flow at dispatch time is tight and the receiver has agreed in advance to pay.

Choose prepaid when…

• You want the transaction closed at dispatch — no collection follow-ups, no refused-payment disputes.
• The receiver is a first-time or distant customer you do not want to chase for money.
• You negotiated the freight rate yourself and want it locked in.
• You need a clean GST invoice in your own books for the freight.

The risks nobody mentions

• To-pay risk: the receiver refuses the goods or disputes the charge at the door. You then pay return freight or storage — clarify this in writing before dispatch.
• Prepaid risk: you have paid for a service not yet rendered. Book with providers who give you live tracking and a clear refund policy.
• Either way: declare the correct value. FOV-based liability follows the declared value, not the invoice value of your sale.

Rule of thumb: whoever has the stronger relationship with the transporter should be the one who pays — they have the leverage if something goes wrong.
